The AI receptionist built for medical practices
Your front desk can't answer calls and check patients in at the same time. Otofi handles the phone (new patient scheduling, refill routing, after-hours triage) so your staff focuses on the patients in the room.

The Cost of a Missed Call
What every unanswered call costs your business
of patients who reach voicemail don't leave a message
A patient who can't get through during the lunch hour or after 5 PM has two options: call another practice or go to urgent care. Either outcome costs you a patient relationship. For a primary care practice seeing 20 patients a day, even a 5% same-day appointment-fill rate improvement translates to thousands of dollars per month. Otofi answers every call (at noon, at 5:30 PM, and at 2 AM) and acts on it.
What Otofi Handles
Call types managed for medical practices
Otofi is an AI phone agent that answers and makes calls for medical practices, books appointments in your EHR, handles refill requests and patient FAQs, and hands off urgent calls to on-call staff when needed.
New patient scheduling with insurance capture
Collects name, date of birth, chief complaint, insurance carrier and member ID, and writes the appointment into the correct provider's EHR schedule. New patients are walked through your new-patient intake checklist.
Reschedules and cancellations
Handles rescheduling and cancellation requests, offers alternative slots, and updates the EHR, without tying up front desk staff.
Prescription refill requests routed to the right queue
Captures medication name, pharmacy, and prescribing provider, and routes the request to the correct refill queue in your EHR or practice management system. Otofi never authorizes or advises on medications.
Office hours, location, parking, and general FAQs
Answers common administrative questions from your approved knowledge base, directions, parking, which insurance plans you accept, what to bring to a first visit.
Pre-visit instructions
Delivers owner-approved pre-visit instructions for specific appointment types (fasting for labs, forms to complete, what to bring) to patients calling ahead of their visit.
After-hours triage → hard escalation to on-call
After-hours callers describing symptoms receive a structured set of questions that determines urgency. Otofi never provides clinical advice, it routes to your on-call provider immediately if the situation warrants it.
Appointment reminders and annual recall
Places outbound reminder calls 48 hours before appointments and runs annual recall campaigns for patients due for physicals or preventive screenings.
Integrations
Connects to your medical practices software
Reads live availability and writes bookings, notes, and outcomes directly into your tools -- during the call.
Native EHR integrations read live provider schedules and write appointments and refill requests directly, no double entry. Confirm which integrations are native vs. Zapier-based for your specific EHR version at setup.

Compliance & Control
What's recorded, who can listen, and how escalation works
Otofi operates under a HIPAA-ready configuration. A Business Associate Agreement is available on request. Protected health information (patient names, dates of birth, insurance information, appointment reasons, and medication requests) is handled in accordance with HIPAA Security Rule requirements: encrypted in transit and at rest, with access controls limiting visibility to authorized users. Otofi never provides clinical advice, diagnoses, or triage recommendations. Any caller describing a potential emergency is immediately escalated to your configured on-call contact. Call recording consent disclosures are set to your state's requirements at setup. An audit log of all calls, actions taken, and data accessed is available in your account.
