The Cost of a Missed Call

What every unanswered call costs your business

1 in 3

callers who reach voicemail call a competitor instead

In home services, speed wins the job. A caller with no heat at midnight or a burst pipe at 7 AM will hang up after two rings and call the next company on Google. An answering service that takes a message loses that customer to whoever answers live. Otofi answers every call, collects the job details, and books the time window, so by the time your competitor calls back, the slot is already on your board.

What Otofi Handles

Call types managed for home services

Otofi is an AI phone agent that answers and makes calls for HVAC, plumbing, electrical, and home service businesses, books jobs in ServiceTitan or Housecall Pro, and hands off emergencies to your on-call tech when needed.

1

New service request → book with full job details

Collects customer name, address, issue description, and preferred time window. Writes the job directly into ServiceTitan, Housecall Pro, or Jobber, no dispatcher touchpoint required for routine calls.

2

Emergency dispatch (no heat, burst pipe, gas smell)

Owner-defined emergency logic triggers an immediate call to your on-call technician. The customer hears an ETA and a callback name, they know help is coming.

3

Estimate follow-up outbound

Otofi calls customers who received an estimate but haven't responded, checks if they have questions, and moves them toward a booked job, before they call a competitor.

4

Maintenance-plan renewal calls

Works through your lapsed or expiring maintenance customers and books the renewal visit on the call.

5

"Where's my tech" ETA questions

Answers ETA inquiries by pulling real-time job status from your FSM and delivering a plain-language answer. No dispatcher time required.

6

Invoice and payment questions

Answers basic invoice questions from your approved scripts and transfers to your billing team for disputes or payment arrangements.

7

Review-request calls post-job

Calls customers 24 hours after job completion to confirm satisfaction and request a Google review, fully automated, owner-configured messaging.

Inbound & Outbound

Coverage in both directions

Inbound

Every inbound call is answered immediately, new service requests, ETA questions, emergency calls, and payment questions. Otofi collects the information your dispatchers need, books the time window directly into your FSM, and escalates true emergencies to your on-call tech. Your dispatchers handle complex re-routing and priority decisions; Otofi handles everything else.

Outbound

Otofi places outbound estimate follow-up calls, maintenance renewal calls, and post-job review requests on your behalf. Calls to existing customers with a prior service relationship are generally permissible under TCPA's established business relationship exemption, but consult counsel before running outbound to cold lists. All outbound calls are logged with timestamp, outcome, and recording for your review.

Compliance & Control

What's recorded, who can listen, and how escalation works

Otofi records all calls; recording consent notices are configured to match your state's requirements (two-party consent states get an explicit disclosure at call start). Emergency escalation scripts (what the agent says, which number it calls, and in what order) are configured by you before go-live. TCPA compliance for outbound is your responsibility; consult counsel if your lists include customers you have not previously served. No HIPAA controls apply to home service businesses.

FAQ

Frequently asked questions

Yes. Otofi's native integrations read open dispatch slots and write the booked job (including customer address, issue description, and requested time window) directly into your FSM during the call.
You define what counts as an emergency (no heat, burst pipe, gas smell, etc.) and which number to call. When Otofi detects those keywords, it immediately escalates to your on-call tech and tells the customer a callback is coming.
Yes, if your FSM exposes real-time job status. Otofi pulls current job position and gives the customer a plain-language ETA without involving your dispatcher.
Yes. Give Otofi a list of open estimates and it will place outbound calls, answer questions, and book the job on the spot. Most home service businesses close 15–25% more estimates with automated follow-up vs. manual callbacks.
An answering service takes a message. The job goes to whoever calls back first, often your competitor. Otofi books the slot on the first call. It also handles outbound estimate follow-up and post-job reviews, which answering services don't do.
